Journals only — MyEasyMarket never edits, deletes or reads back transactions in Xero. Pro and Scale plans.

Before you start

  • Accounting integrations are built and open with MyEasyMarket's public launch, on the Pro and Scale plans.
  • A Xero organisation you can sign in to, with the Adviser or Standard role (enough to add manual journals and read the chart of accounts).
  • The accounts you want to use: a clearing account per marketplace (or one for all), sales, shipping income, discounts, marketplace fees, your bank account, cost of goods sold and inventory.
  • An owner or admin role in MyEasyMarket to connect. An accountant role can map accounts, preview, approve and retry.

Step by step

  1. In MyEasyMarket, open MyEasyBilling → Accounting and select Connect Xero.
  2. Sign in to Xero and allow access. If your login reaches several organisations, choose the one to post into.
  3. Open Account mapping. MyEasyMarket reads your chart of accounts; select Suggest from account names, check every line and save. Add channel overrides if each marketplace has its own clearing account.
  4. Open Sync & reconcile. Check the journals for this month, then select Approve. Nothing is sent before you approve a month.
  5. The owner or an admin opens Settings and turns sending on. Approved journals go to Xero straight away, then every day.

After you connect

  • One manual journal per day and sales channel: order totals to the clearing account, sales, shipping charged and discounts, and cost of goods sold against inventory at the cost when each order was saved.
  • One journal per day and marketplace for orders completed that day: commission, transaction and service fees, SST on fees, platform vouchers, and the payout to your bank.
  • Each journal starts with a readable reference such as MEM-261018-SSP and carries the LHDN e-invoice UUIDs of its orders.
  • Sync & reconcile shows each day next to what is in Xero. A cancellation after a day was sent becomes an adjustment journal; sent journals are never edited.
  • Journals Xero refuses wait in the error queue with Xero's own message and a Retry button.
  • Optional: drafts instead of posted journals (Settings), or a month-end stock value journal for periodic inventory.

Limits and good to know

  • Built on Xero's Accounting API (manual journals, chart of accounts) with OAuth 2.0. Every journal is sent with an idempotency key, so a retry never posts twice.
  • Days are Malaysian business days; amounts are in ringgit. Only MYR orders are journalised.
  • Xero limits API calls per organisation; MyEasyMarket sends a handful of journals a day and retries rate limits on its own.
  • Your Xero tokens are stored encrypted and deleted when you disconnect.

Troubleshooting

What you seeWhy it happensHow to fix it
The connection shows Needs attentionreconnect_requiredXero access expired or was removed (for example the app was disconnected in Xero, or 60 days passed without a sync).Open MyEasyBilling → Accounting → Settings, disconnect, then connect Xero again. Your mapping and history are kept.
Choose an organisationorganisation_requiredYour Xero login reaches more than one organisation.Pick the organisation on the Accounting overview and select Use this organisation.
A line has no accountmapping_missingThe journal uses a line (for example commission) that is not mapped yet.Map it in Account mapping, then select Retry in the error queue.
Xero refused an accountinvalid_accountThe account was archived in Xero, or is a system account Xero does not allow in manual journals.Choose another account in Account mapping, then Retry.
The period is lockedperiod_lockedThe journal date is before the lock date set in Xero.Ask your accountant to move the lock date or post that day by hand, then Retry.
Sending is delayedrate_limitedXero asked us to slow down.Nothing to do: MyEasyMarket retries on its own.

Reconnect, disconnect and your data

  • Reconnect from MyEasyBilling → Accounting → Settings: disconnect, then connect again. Mapping, approvals and history stay.
  • To stop, turn sending off or disconnect. Journals already in Xero stay there.
  • Switching to another organisation turns sending off until the owner or an admin turns it on again.
