Orders come in from files you upload or that we pick up from your SFTP server; stock goes out as a file. Prices, listings and shipping stay on the marketplace.
Before you start
- A marketplace or portal that can export orders as a CSV file — for example TEMU, PG Mall (until its API opens) or a wholesaler's portal.
- One example order file to set up the column mapping.
- Optional: an SFTP server (yours or the marketplace's) where order files are placed and your stock file can be left. Its address must be reachable from the internet.
- Your products should use the same SKUs on the marketplace as in MyEasyMarket — that is how lines are matched.
- Each CSV / SFTP store counts as 1 connected store on your plan.
Step by step
- In MyEasyMarket, open MyEasyCommerce → Channels, select Connect store and choose CSV / SFTP, then Connect CSV / SFTP. The store is created straight away.
- On the store's page, enter the marketplace name (for example "TEMU") and select Save.
- Under Import orders, choose an example order file. We suggest a column for every field (English, Malay and Chinese headers are recognised); check them, pick the date format and select Save mapping.
- Check the preview (orders found, rows with problems), then select Import orders. The import runs in the background; the result appears on the page and in the Sync log.
- Optional — SFTP schedule: enter the host, port, username and a password or private key, the orders folder, the order file names (for example
orders_*.csv) and, if you want, the stock file to write. Choose how often to check for orders and send stock, then Save SFTP and Test connection. - Stock: select Download stock CSV to upload it to the marketplace yourself, or let the SFTP schedule write it for you.
After you connect
- Orders: every row with the same order ID becomes one order; lines are matched to your products by SKU. Importing the same file (or the same orders) again never creates duplicates — a changed status updates the order instead. Paid orders reserve stock; cancelled ones release it.
- SFTP pickup: on each run we read the files in the orders folder that are new or changed since the last run (up to 20 per run). Files are never moved or deleted on your server.
- Stock file: one row per SKU with the quantity this store may sell — your warehouse rules (Phase 19), other stores' campaign holds and the allocation % for this store are applied. The column names are yours to choose.
- Problems: a row with a problem (for example a quantity that is not a number) skips its whole order, so an order is never imported with missing lines. The first problems are listed with their row number.
Limits and good to know
- Security: the SFTP password or key is stored encrypted and never shown again. We refuse private or internal network addresses, and we remember your server's security key on the first connection — if it ever changes, imports stop until you save the settings again.
- Files can be up to 5 MB and 10,000 rows. Dates without a time zone are read as Malaysia time.
- TEMU: TEMU's seller API programmes cover sellers in other countries; we found no programme for Malaysian sellers yet, so use TEMU's order export with this adapter.
- Prices, listings, shipping and buyer messages stay on the marketplace.
Troubleshooting
| What you see | Why it happens | How to fix it |
|---|---|---|
| The file does not match the saved column mappingcsv_invalid | The marketplace changed its export columns, the file is empty, or the mapping was never saved. | Choose the new file on the store's page, check the suggested mapping and select Save mapping. |
| That SFTP address is not allowedsftp_private_host | The host points to a private or internal network (for example 192.168.x.x or a .local name). | Use your SFTP server's public host name or address. |
| The SFTP server refused the loginsftp_auth_failed | Wrong username, password or private key. | Enter the credentials again under SFTP schedule and select Save SFTP. |
| The SFTP server did not answersftp_unreachable | Wrong host or port, or a firewall that blocks connections from the internet. | Check the host and port and allow incoming SFTP connections. We retry on our own. |
| The SFTP server's security key changedsftp_host_key_changed | The server was replaced or reinstalled — or something is pretending to be it. | If you changed servers, save the SFTP settings again to trust the new key. Otherwise ask your host first. |
| Folder or file not found on the SFTP serversftp_not_found | The orders folder or the stock file's folder does not exist. | Correct the paths under SFTP schedule and select Test connection. |
| An order file is too largesftp_file_too_large | The file is larger than 5 MB. | Export shorter date ranges so each file stays under 5 MB. |
| An order line is not linked to a productunknown_sku | The SKU in the file matches none of your products, or several of them. | Use the same SKUs on the marketplace as in MyEasyMarket. The order is kept; stock is not reserved for that line. |
Reconnect, disconnect and your data
- Changed the SFTP password? Enter it under SFTP schedule and select Save SFTP.
- Remove SFTP deletes the stored credentials and stops the schedule; uploads keep working.
- To disconnect, open the store and select Disconnect. Imports and exports stop, credentials are deleted and imported orders stay in MyEasyMarket.
Frequently asked questions
Which marketplaces can I connect this way?
Any marketplace or portal that can export orders as a CSV file — for example TEMU, PG Mall or a B2B portal.
What if I import the same file twice?
Nothing is duplicated. Orders are recognised by the marketplace's own order ID.
Do I need an SFTP server?
No. You can upload order files and download the stock file by hand. SFTP only automates it.
